Field School PTO Meeting Minutes, September 22, 2020, 7:00 pm via Zoom

Call to Order: Helen Pasley called the meeting to order at 7:03 pm, approximately 29 people were in attendance.

The June 3, 2020 meeting minutes were approved, motion to approve from Vicky Duka, second by Rebecca Little.

PTO Officer Report

Co-President: Phyllis Lubinski and Helen Pasley

  • Playground painting planned: existing hopscotch, four square etc. lines. The Gallegos family is donating the paint and will complete the painting. This will be complete before students return to school on Oct. 13

  • Thank you Sara Sweeney for coordinating the virtual labor day picnic, about a dozen families submitted photos, collage of pictures was shared in recent PTO email newsletter.

  • Thank you to Jason Trunco for coordinating the Chicago Dogs reading reward program this year. Jason arranged for Field families to redeem baseball tickets this summer.

Vice President: Sara McFadden

  • At the end of the last school year the majority of the committee positions were filled. Some committees are on hold due to Covid.

Treasurer : Tom Martin

Draft budget for new school year, 2020/2021, presented. The final budget is in progress and will be presented at the next PTO meeting to be voted on for approval.

For the 2019-2020 school, Tom shared the year end results. Last year we ended with a $3,800 operating loss. This year will be much different, we anticipate an $8-10K operating loss due to fewer fundraisers, specifically pizza day. There is a balance of $53K, but this includes V-show 66 funds of $39K that are already allocated as well as funds from V-show 65 that may be owed the district for MPR related costs.

  • Committee chairs, please send requests with language you would like added for the PTO News You Can Use ask “the blast” by Thursday evening. Be sure to include details about the event, timing, links, potential cost etc. The blast is sent to families early Monday morning.

  • PTO Facebook page: we often share information on this page that mirrors the weekly blasts, please encourage friends to join this page to learn about PTO events, activities, reminders. Note that members must answer questions regarding their connection to Field (kids at school and their grade(s)) so the page is limited to Field families/community. PTO board members approve FB posts that are related to Field and D64. If a post is not approved, we let the user know why it’s not a good fit for our page.

  • The next PTO meeting is Nov. 10 followed by Jan. 19, March 9 and May 18th. We have limited PTO meetings planned this year due to fewer events.

Principal’s Report: Courtney Goodman

  • School is preparing for the Oct. 13 and 19th (based on grade level) hybrid return to school. Awaiting the family forms about decisions-due by Friday, Sept 25th at noon. Mrs. Goodman is preparing information for morning announcements. Admin. is planning on creating videos on how to line up, wear a mask etc. Mrs. Goodman shared that she’s proud of teachers for all their hard work and the improvement or remote learning compared to the spring. Admin. is coordinating items for the building, happy PTO can help with blacktop covering. Admin working with head custodian, John Imber on floor stickers, moving furniture etc. Looking forward to meeting students live and in person in mid-October.

  • Phyllis interjected that the PTO is providing lanyards (with safety breakaway option) for masks at the request of the administration. Funds used to purchase lanyards are coming from V-show 66. Mrs. Goodman said they have considered how students will hold their masks at recess and have decided that lanyards are the best option.

  • Helen interjected, that other schools are doing mascot visits during remote learning and asked if this could this be a possibility at Field. Mrs. Goodman is excited about PTO having a Phoenix costume, she wasn’t aware and is happy to have use the costume for visits.

  • Parent asked, will a new orientation be offered when hybrid school begins? Mrs. Goodman responded that the first day will be considered a second “first day.” She and Field staff are planning on ways to welcome students, especially kindergarteners who’ve never been to Field.

--Monday, October 5th is the next supply pick up.

Committee Reports

  • Room Parents- Christy Shebuski- each classroom has a secured room parent. Parents should complete the google form for their child(ren)’s grade. Google links have been shared in the PTO email blast the last two weeks, on grade specific PTO pages and by Mrs. Goodman in the Field Flash. However, we’re still struggling with trying to get families to respond. Thank you to Mrs. Goodman for helping with fathering family information. Additional ideas to get families to respond were discussed. Christy mentioned possibly sending something home on supply pick up-Mrs. Goodman says this is possible or even having families write down their information at pick up. Christy will work with Mrs. Goodman to finalize this plan. Mrs. Goodman said it could also be shared via teachers.

  • Grade level t-shirts- Brandy Oomen- place orders now on RevTrak for grade level shirts, deadline to order is September 30, 2020 (no exceptions) with distribution in mid-Oct. Colored coded by grade. Administration will pick the days to wear shirts and share with families. K will change color to light blue. Pick up can be with at next supply pick up-date after Oct. 5th, per Mrs. Goodman, this date is TBD. If not picked up at supply pick up, shirts could be picked up on Brandy’s porch/front lawn.

  • V Show - Rebecca Levin and Ruben Nieves presented plans as the V-show 67 Producers. V-show is one of the longest traditions at Field school and the largest fundraiser this year. It’s a great way to get involved and meet other Field parents. V-show is a parent written, produced and performed show. The script team has written the show over the summer. Sept 29th is a virtual script reveal. Information about the show and how they plan on doing the show during the pandemic will also be covered. There are a variety of ways to get involved, you do not have to preform necessary and commitment levels vary. The producers goal this year is to continue the tradition, community building and fundraising of this event.

  • Field Follies – Sara McFadden shared update from Ann Looby and Meghan student play, produced and coached by parents, written by fourth/rising 5th graders. 250 kids typically in the show. Typically in the fall, but will be moving to the spring, May this year. In person dates are reserved, but show will most likely be virtual. Producers Ann Looby and Megan Kelleher working on ideas to keep it safe and move forward.

  • Trunk or Treat- Rebecca Little- in the planning stage. The idea is that it would take place in the staff parking lot, spacing people out. Free event, but possibly ask for small donation/fee?, timed tickets. Cannot do a drive by because PR police won't allow street closure. Possibly 15 cars. Candy would be on a table so families don’t have to touch anything. Date is tentative, but possibly weekend before Halloween, Saturday, Oct. 24th. Two hours, 1-3. Rain date would be Oct. 25th. Helen asked Mrs. Fiore about asking Field staff to join in if possible.

  • Chess Club- Ana Budisin, no in school program, but Chess Ed is offered chess classes. Classes started last Monday. (see Ana’s email), 10 week program, $150. New families are welcome, but cost will not be prorated. Only three kids have signed up.

New Business

Wishtree 2.0 Launch- One Book, One School Reboot- Mrs. Schaab (notes below from presentation Mrs. Schaab shared during the meeting)

  • Reading is a vital part of our school community, as well as that our school is rooted in kindness.

  • A school theme gives staff and students the opportunity to revisit the concepts of kindness and empathy

  • Allowing our building to share a common experience is both positive and powerful, and including the school community helps create stronger bonds between home and school.

  • This year, find your books and we will reread to remind our students of the key themes of this book together.

  • Mrs. Goodman & Mrs. Donnelly have purchased copies for new staff & new students. THANK YOU!

  • Bridge gap between students and staff participating in hybrid and fully remote.

  • New books for new families will be distributed at materials pick up in October.

  • All students will receive a ribbon for a wish to be tied on the fence on Elmore and a bookmark with the reading schedule.

  • Teachers will be reading chapters and posting in a password protected “Flipgrid” for students to access.

  • Suggested family activities.

  • Will conclude by Thanksgiving.

  • Key Dates: October 5th, Materials Pick Up, Reading Schedule. October 13th- Reading Begins, Art Project Begins

  • Library Books: Over 300 books checked out, but 180 books overdue.

New plan for library book check in/out:

  • Circulate books weekly

  • Rotate K-2 Checkout Weeks and 3-5 Check out Weeks

  • According to CDC and ALA recommendations, quarantine books for 1 week before they are recirculated

  • Parents can pick up at designated times or request contact-free pick up.

  • K-2 Families will use Google Form

  • 3-5 Families will use Destiny Discover to put books on “hold”

  • 2 books out at a time

  • PTO Membership-Catherine Gillespie- membership drive coming soon. Finalizing details related to AtoZ, the online directory. Membership will be $15 per family and we’re opening up a teacher membership option for $5. Membership gives users online directory access and a Field School yard sign.

  • Potential Fundraising Ideas

  • Porch portraits: Phyllis has reached out to two Field families, working on proposals.

  • Gift card fundraiser/Scrip- Catherine Gillespie briefly discussed, this is an online gift card buying program that donates a portion of sold gift cards back to an organization. Still in the planning stages, more details coming soon.

  • Pizza night: Lynora Dobry.- Kiddie Kingdom now runs a restaurant called Izzy’s, they will partner with the PTO to do a dine and donate event every Thursday. Izzy’s will donate 15% back per order to our PTO. Any item on the menu is eligible for the donation, not just pizza. Izzy’s will offer free delivery through their staff. Lots of families didn’t know pizza day was a fundraiser, so we’re excited to continue this as an ongoing fundraiser for the PTO. Mrs. Goodman mentioned that her previous school did an ongoing dine and donate and was a success.

  • Walkathon - Craig Stankiewicz will chair this year. This will take place in the spring. The walk will be done independently, families will get sponsors. More details to come.

  • Food truck(s): Phyllis- food truck Fridays in the school parking lot, proposals being prepared. $6000 made at another school with similar idea. Meals would be boxed and safety measures would be in place. More details to come.

  • Amazon Smile- families who use Amazon should sign up for Amazon Smile so .5% of their eligible purchases go back to Field. Details on PTO email blast as well as PTO Facebook page.

Helen asked Mrs. Goodman about enrollment numbers. Mrs. Goodman said we have 637 students, lower than previous years, 35-40 students less.

Mrs. Fiore- first shipment of coffee for the Field staff has been received. Staff greatly appreciate.
